Job Summary

Organizing and managing the CEO's office and assisting him in completing office work and ensuring the application of the company's approved systems and instructions.

Responsibilities
    Determine what needs to be done and what is required to streamline the Executive Office's operations. Order travel tickets, hotels, and exhibition passes for the Executive Office's flights. Supervise the Executive Office's schedule, ensuring consistency and proper organization. Receive visits from the Executive Office. Prepare the Executive Office's schedule and alternatives, clearly outlining what has been scheduled and what cannot be postponed. Prepare a weekly plan that includes the Executive Office's agenda. Review official documents and instructions before presenting them to the Executive Office or forwarding them to others. Ensure all Executive Office files are stored securely and can be easily accessed when needed. Send invitations to participants in meetings requested by the Executive Office. Review and index all incoming and outgoing correspondence for the Executive Office. Attend all meetings and sessions in which the Executive Office is involved and record the minutes according to the approved schedule. Prepare for Executive Office meetings and coordinate and prepare all relevant documents and materials. Organizing and indexing internal reports submitted by other departments and sections to the CEO, monitoring their status, and recording them in the appropriate registers. Ensuring all office and electrical equipment is in working order and that it is secured both internally and externally, and overseeing the maintenance of all office equipment in the CEO's office. Ensuring the availability of all office supplies and equipment. Assisting senior management with any tasks not listed in this assignment that contribute to achieving the company's objectives, upon the CEO's personal request. Adhering to occupational health and safety policies and procedures. Performing any other duties not listed in this description that contribute to achieving the company's objectives.
Skills
    1. Proficiency in preparing work reports 2. Fluency in English 3. Advanced computer skills and proficiency in office applications 4. Skill in organizing and planning the daily tasks of the CEO 5. Familiarity with all policies, procedures, and regulations related to the field of work 6. Ability to work under pressure and handle difficulties and problems 7. Ability to draft official correspondence, reports, and meeting minutes for the CEO in a clear and effective manner.
